1. Who we are

2. Information you give us
When you submit an enquiry, quote request or callback request, we collect the details you enter. These may include your name, company, phone number or email address, depot location or postcode, vehicle types and numbers, washing frequency, service requirements and the contents of your message.
If you apply for a vacancy, we collect your first and last name, email address, phone number, the role and location you apply for, and any CV or supporting information you provide. Please do not include sensitive personal information that is not needed for your enquiry or application.
Providing information is voluntary, but we may be unable to respond, prepare a quote or consider an application without the details marked as required.
3. How and why we use your information
We use your information to respond to enquiries and callback requests, discuss your fleet or cleaning requirements, prepare quotations, arrange services and assess job applications. We also use relevant information to administer and protect the website and deal with legal obligations.
Where you ask us to take steps towards a service or employment contract, we process the information needed to take those steps. For general business enquiries, recruitment administration and website security, we rely on our legitimate interests in responding to people, operating our business and protecting our services, balanced against your rights. We may also process information where necessary to comply with a legal obligation.
Submitting a website form does not sign you up to marketing emails.
4. How long we keep form submissions
We keep personal information submitted through our website forms for one year from the date of submission. At the end of that period, we delete or anonymise the submission and associated personal information across the systems where we hold them, including relevant email copies and attachments.
Where the law requires us to keep a specific record for longer, we retain only the information needed for that obligation. Records created as part of an ongoing customer or employment relationship may be subject to separate legal record-keeping requirements. Anonymised statistical information that no longer identifies anyone is not subject to the one-year form-submission period.
5. Website analytics and cookies
We use built-in, cookieless website analytics to understand visitor numbers, page views, popular pages and referral sources, so we can improve the website.
Daily visitor counts use an identifier derived from an IP address and browser information with a secret that resets each day. This does not create a persistent identifier. The analytics reports are anonymised and are not linked to the personal information you send through a form.
This analytics service does not use cookies. If we introduce optional cookies or other tracking technologies that require consent, we will explain them and request consent before they are used.
6. Who may receive your information
Information is available to authorised people at EJ Truck Wash who need it to handle your enquiry or application. We also use service providers for website hosting, form processing, email and, where used, file uploads. These providers may process information on our behalf to deliver those services.
We may disclose information where required by law or where necessary to establish, exercise or defend legal rights. We do not sell the personal information you submit through our forms.
Where personal information needs to be transferred outside the UK, we will only do so where permitted by UK data protection law, using applicable adequacy arrangements or appropriate safeguards such as approved contractual protections. We use appropriate technical and organisational measures to protect personal information and limit access to those who need it. No website, email service or internet transmission can be guaranteed completely secure. Please avoid sending unnecessary sensitive information through a website form.
